The following Terms & Conditions apply to all APF Travel, Inc (“APF”) programs including those of all company divisions including but not limited to GoLatin Travel and ABC Tour Company. Your agent will inform you should any specific terms differ due to destination, departure date or other circumstances. For additional information, please contact us at (800) 888-9168.

A non-refundable deposit of $300 per person per program and signed registration form are required within 7 days of booking otherwise reservation will automatically be cancelled. Deposits must be paid by check, direct bank deposit, wire, money order or cash. Payment of deposit and/or final payment indicates your acceptance of our Terms and Conditions. Final payment of the total program price is due 60 days prior to departure date. The land and sea portion of your final payment must be made by check, direct bank deposit, wire, money order or cash, but the air portion of your final payment may be made by credit card. If final payment is not received by the due date, your reservation will automatically be canceled and the appropriate cancelation penalty charged against your deposit. The land portion of the program price is guaranteed once deposit is paid. However, airfare may increase before final payment, and your payment of the deposit indicates agreement to cover any and all airfare increases. Once paid in full, both the airfare and tour price are guaranteed. Only currency surcharges; flight schedule changes which require additional nights and cost to be added to the package; and deviations from the original itinerary at the request of the entire tour group will result in an additional assessment from each passenger. We also recommend all travelers purchase travel insurance at the time of deposit to maximize usage of benefits.

The deposit is non-refundable except in the case of death, which must be evidenced by a death certificate. Refunds of deposits only apply to the deceased individual, and not towards family members or friends who have registered to travel together, however they may postpone without APF penalty (air, cruise, and train penalties still apply) and apply their deposits towards a future APF program.

Written notice of cancellation must be received by APF by mail, fax or email. Oral cancellation by phone will not be acceptable. The following fees will be assessed per person per program prior to departure if you cancel your reservation.

Up to 61 days $300 + air/cruise/train penalties

31-60 days $500 + air/cruise/train penalties

8-30 days $800 + air/cruise/train penalties

0-7 days 100% non-refundable

*Air/cruise/train penalties” refer to actual penalties and service charges assessed by airlines, cruise lines, and train companies, especially after issuance of tickets, pursuant to their respective rules and regulations. APF reserves the right to issue air/cruise/train tickets immediately upon receipt of your deposit.

A fee of $35 per person per program will be charged for any revision or alteration made to a reservation after the booking is confirmed. Any alterations risk the loss of air space or increased airfares. Name changes or corrections will be treated as a cancellation of air and all normal air cancellation fees will apply. A change of program date or itinerary within 60 days of departure will be treated as a cancellation and new booking; regular cancellation fees apply. Bookings made within 30 days of departure may incur special handling fees.

Airfare pricing is not guaranteed until your entire program is paid in full and APF issues the ticket(s). We reserve the right to recover from you increases in airline-imposed fuel surcharges and any taxes, charges or levies imposed by any government or its agencies. Please note that APF is unable to supply ticket copies after departure.

Changes to air tickets after booking are subject to the following fees:

  • Prior to ticketing: service fee $50.00 per person
  • After ticketing: service fee $75.00 per person plus any airline imposed penalties which may be up to 100% of the air ticket value.
Airline seats are limited and sell out quickly. If APF is unable to confirm your air reservation in its originally scheduled class of service, APF may offer an alternative of either connecting flights, substitute gateways or a more expensive booking category. Any additional air charges are the responsibility of the traveler. You will be advised of these conditions, if any, at the time of booking.

All airlines reserve the right to assess additional air-related taxes and fees, and as such APF must pass these on to the traveler. Any additional fees charged by the airlines, such as for seat selection, baggage checking and/or handling, and/or any other ancillary services are the sole responsibility of the traveler. Additional air-related restrictions may apply. APF reserve the right to use any airlines/tickets. Certain tickers might not eligible to earn airline mileage or any reward points.

Some of our departures are not guaranteed. If you are purchasing a non-refundable air ticket, please make sure that your agent explains the restrictions associated with non-refundable airfares. APF cannot be held responsible for any change and/or cancellation penalties associated with these non-refundable airfares.

No refund or exchange will be made for any unused or missed accommodations, meals, transportation, cruise portion, tours or any other service.

It is strongly recommended that all passengers purchase comprehensive travel insurance including international air, cancellation and medical coverage. This may be arranged through your agent. APF Travel Protection and Cancellation Waiver premiums are not refundable once purchased.

If after your trip you wish to inquire about any services provided, please ensure that all correspondence is received by APF within 60 days of returning. To expedite processing, please email all correspondence to

All traveler passports must be valid for at least 6 months from the return date of your trip. U.S. citizens require a visa for Brazil, which must be obtained prior to arriving in Brazil. For non-U.S. passports, please consult with the appropriate consulates to determine if any visas are needed. Securing any necessary visas is the responsibility of the passenger. Travelers must obtain their required visa prior to tour departure. APF is not responsible if you are denied entrance for any reason to any country, even if you have a valid passport and visa.

If APF assists with your visa processing, all processing fees are non-refundable. This includes situations the following situations: 1. The traveler cancels the trip; and 2. APF cancels the group departure date but offers close alternative dates and the same price to traveler.

To ensure the smooth operation of the tour, we recommend that travelers be in good health. Please consult with your physician regarding your wellness and ability to travel long distances. APF reserves the right to decline to accept, or retain any person as tour participant, should such person’s health, mental condition, physical infirmity or general deportment impede the operation of the tour or the rights, welfare or enjoyment of other tour participants.

NOTE: There are higher altitudes in mountainous regions (8,500-15,000 ft) in certain programs particularly for Peru and Bolivia. Please consult your physician for proper clearance and preventative care.

Any disability requiring special attention must be communicated in writing to APF at the time of booking. Passengers with disabilities are welcome on APF programs, provided they are accompanied by a qualified and physically-able companion capable of providing all assistance required, and do not require special assistance from APF personnel.

Please note that most motor coaches, mini-buses and vans in Latin America are not equipped with wheelchair ramps, and motorized wheelchairs/scooters are not allowed. Many sightseeing attractions are not equipped to accommodate wheelchairs.

River cruise vessels may not have elevators between decks. On stops at different ports, steep stairs and pathways must be navigated to get from the vessel to the road where tour buses can pick up passengers for sightseeing. Most of the sightseeing is on foot. Therefore, regretfully, we do not recommend these tours and cruises to wheelchair bound passengers or to passengers with severe walking limitations or other severe physical disabilities.

APF reserves the right to refuse to carry any traveler it decides may require services and facilities that APF cannot guarantee will be available in our programs. You agree to not hold APF responsible for any decisions made by them or any service provider to refuse to carry you, provide any special facilities or accommodation to you or to provide any service to you.

APF welcomes children to participate in our programs, with age requirements as follows: five years or older on regular tours; seven years or older on Galapagos cruises

Program participants under the age of 18 must be accompanied by an adult. If a child will be traveling with adults other than parents, or with only one parent, it is the responsibility of the parent(s) to contact the appropriate consulates and the applicable airlines to ensure children have the required documentation for traveling outside the U.S. Additional affidavits may be required by some airlines when only one parent is traveling with the child.

Our programs require a certain minimum number of participants per departure. If this minimum is not met, APF reserves the right to cancel the departure and will offer the next nearest departure dates to the traveler.

To ensure congenial membership, APF reserves the right to accept or reject any person as a participant and to expel that person from the remainder of the trip if that participant exhibits behavior deemed incompatible with the best interest of the group.

All prices are in US dollars and based on tariffs and rates of currency exchange in effect at the time of printing. These rates are subject to change as deemed necessary and fair by APF. All rates shown are based on the cash payment discount price.

The TSA/Homeland Security Administration requires the ticketing agency to collect passenger’s personal information before travel. Please note if your booking contains air segments, you must supply to APF the passengers full name as it appears on the government-issued I.D. used when traveling, the passengers date of birth, the passengers gender and the passengers redress number (if applicable). Deposit and/or full payment will not be accepted for any booking until these details are advised and if not received will prevent your travel documents from being processed. Any increases to airfares due to delay in providing these details will be the sole responsibility of the customer.

Prices per person are based on two persons sharing a twin-bedded room with a private bath or shower. When booking triple rooms, please note that the request is based on sharing the existing bedding (two beds) in a twin-bedded standard room or sometimes (but not always) a roll-away bed. Availability of triple rooms is limited. Please note that single rooms may be smaller than double rooms. Please note it is standard policy that hotels only allow check-in after 3 p.m. Early hotel check-in requires a pre-night to be booked and paid for. Passengers who are members of hotel frequent traveler programs are not entitled to earn points at any of the hotels featured on tours. Substitute hotels may be used at certain times and will be of a similar standard wherever possible.

Any special meal requirements will be made on a request basis only. APF cannot guarantee special meals are available and cannot assume any responsibility or liability if passengers’ special meal requests are not fulfilled.

Baggage is carried at the traveler’s risk throughout the tour. APF standard baggage allowance for its programs is:

  • 1 piece of checked baggage maximum size 30”x18”x10” (76x46x25cm) and weight 44lbs (20kgs), and
  • 1 carry-on item maximum size 14”x9”x22” (23x35x56cm)

These limits allow us to meet all airline limits as well as fit all baggage in our vehicles. Excess baggage charges and insurance are at the traveler’s responsibility. Please note that certain programs such as those using domestic airlines in Costa Rica will have more restrictive baggage allowances. Your agent will inform you of those restrictions.

During local or national holidays, certain facilities such as museums, restaurants, sightseeing tours and shopping may be limited or not available. Alternatives will be offered whenever possible. Please note most Christmas Markets close prior to or on Christmas Eve.

Smoking is not allowed on all flights, trains, ships, motor coaches, mini-buses or vans.

APF constantly strives to improve its program itineraries and features. If such improvements can be made or if unforeseen circumstances beyond our control make changes to your program necessary, we reserve the right to modify itineraries and to substitute hotels. At certain peak periods, duplicate departures may operate and sometimes in reverse order, in which case hotels may vary from those stated on your tour agenda. For all cruises, in the rare event of water level problems on stretches of any river, it may be necessary to operate part of the itinerary by motor coach. APF will make best efforts to adhere to your original program.

In general, all travel documents will be sent to you 14-21 days prior to departure via priority service. Overnight delivery can be arranged at additional cost. If we assisted in processing visas for you, your passport will be sent with your travel documents.

Airfares (unless you purchase a land & air package), air-related taxes and fees (these are stated separately for land & air packages), optional excursions, excess baggage fees, passport and visa fees, insurances of all kinds, laundry, beverages, meals not detailed in the itinerary, porterage, tips, and items of a personal nature such as telephone calls, incidentals and souvenirs.

If you leave the tour early at your own will, including due to illness or as a consequence of official action by the government of any country visited, you will be responsible for the costs of your transportation to return home. APF will make best efforts to assist travelers with such changes but these may incur penalties, fees and new transportation costs that are the responsibility of the traveler.

Photographs in this brochure and any APF marketing materials show places in local geographic areas, but are not necessarily included in the tour or cruise. Maps shown are for general information and may not accurately reflect actual routings or be to scale.

APF does not assume any liability regarding provision of medical care or the adequacy of any medical care that may be rendered. It is understood that APF will use its best efforts to ensure that adequate measures are taken in the event of a medical emergency.

In the event of natural disaster, political unrest and acts of God, APF will make best efforts to assist travelers in making alternate arrangements. In such events, airfare, cruise fare, train fare are NOT refundable and APF is not liable in any way to procure any refund from these suppliers.

APF reserves the right to cancel the tour prior to departure for any reason. Liability for such cancellation is limited to full refund of money received by APF and this will constitute full settlement with the tour member.

Baggage is carried at traveler's risk and travel insurance with baggage coverage is recommended.

APF is not responsible for typographical or printing errors, or omissions in its marketing materials and website.
